Refund & Dispute Policy

1. Overview
This Refund & Dispute Policy applies to all purchases made on HRShield, a product of Vovo Capital (Pty) Ltd (“HRShield”, “we”, “our”), including monthly subscription plans (Starter, Growth, Business, Enterprise) and once-off document purchases. It should be read together with our Terms of Service. All payments are processed securely by Paystack in South African Rand (ZAR).
2. Free Trial
Every new account includes a 7-day free trial with no credit card required. You may cancel at any time during the trial with no charge and no obligation to pay.
3. Subscription Cancellations
- You may cancel your subscription at any time from your account's billing settings
- Cancellation stops future billing; you retain access to your paid plan until the end of the current billing period
- Subscriptions are billed monthly in advance and are non-refundable for the unused portion of a billing period, except where required by the Consumer Protection Act 68 of 2008
- No cancellation fees apply
4. Refund Eligibility
4.1 Subscription plans
We will provide a full refund of your most recent subscription charge if requested within 7 days of that charge, provided the account has not made material use of the Service during that billing period (for example, generating documents, running disciplinary cases, or submitting AI Legal Assistant queries). Requests outside this window, or where the Service has been substantively used, are considered on a case-by-case basis.
4.2 Once-off document purchases
Once-off purchases (Employment Contract, Disciplinary Pack, CCMA Pack) are digital products delivered immediately on payment. Because the document is generated and made available to you at the point of sale, these purchases are non-refundable once the document has been generated or downloaded. If a technical fault prevented delivery of a document you paid for, contact us and we will either deliver it or refund the purchase in full.
4.3 Billing errors
If you are charged in error — for example a duplicate charge, or a charge after a cancellation you submitted before your renewal date — we will refund the incorrect charge in full once verified, with no time limit on reporting it.
5. How to Request a Refund
Email info@hrshield.co.za with your company name, the email address on your account, and the reason for your request. We aim to respond within 3 business days and, where a refund is approved, process it back to your original payment method via Paystack within 7 business days.
6. Payment Disputes & Chargebacks
If you believe you have been charged incorrectly, please contact us at info@hrshield.co.za before initiating a chargeback with your bank or card issuer — most billing queries can be resolved directly and faster this way. If a chargeback is raised, we will respond to Paystack with the relevant account, usage, and payment records within the timeframe Paystack requires. Accounts with a chargeback under review may have access suspended until the dispute is resolved.
